[JOB] Part-Time Administrator, Magnum Foundation

The Magnum Foundation is currently seeking a Part-Time Administrator (4 days per week). The ideal candidate should hold a BA or MA preferably in arts administration or non-profit management and must be interested in photography and media. The applicant must have excellent oral, written, and visual communication skills, be a quick study, well-organized, highly-motivated, and a reliable individual who can work independently. Flexibility and dedication are essential to this position.

Duties and Responsibilities:

-Maintain daily correspondence for all aspects of the organization. Manage all office functions.

-Record all financial transactions in Quickbooks. Maintain A/R and A/P. Prepare books for taxes and audit. Create annual and program budgets.

-Generate Payroll through Intuit. Administer HR Benefits including health insurance and keep associated payroll reports and taxes up to date.

-Write financial reports and correspond with grantors.

-Assist the (acting) Executive Director in the Foundation’s various affairs and projects (i.e. concept building, creating budgets for various projects, etc).

-Maintain Sales Force contacts database and paper and electronic filing system.

-Assist with the development and implementation of development and fundraising projects.

-Assure the smooth flow of programs of the organization (i.e. managing the awards and grants funds, organizing and maintaining various program submissions, press releases and correspondence).

-Interview and manage interns.

-Assist in development and fundraising initiatives.

-Maintain organization’s media outlets (ie, Facebook, Twitter, blogs, etc).

Knowledge and Abilities:

-Fluency with Microsoft Office, Sales Force and Quickbooks required. Knowledge of Final Cut Pro, Adobe Photoshop, and inDesign is a plus.

-The applicant must have experience working in a fast-paced environment, be able to multi-task while meeting deadlines with efficiency.
